1. What Is the True Guest Capacity?
Not the “maximum fire code” capacity. The comfortable capacity. There is a massive difference between a room that can technically hold 250 people and a room where 250 people can move, dance, eat, and actually enjoy themselves. Ask: “With dinner tables, a dance floor, a DJ setup, a gift table, and a cocktail bar, how many guests can you comfortably seat?”

2. What Is Included in the Rental Price?
This is where venues vary wildly. Some rental fees include tables, chairs, linens, and basic lighting. Others charge for every single item. Ask for a line-item breakdown of what is and is not included. The “affordable” venue that charges separately for tables, chairs, linens, setup, and cleanup can quickly become the most expensive option.
Key items to ask about: tables, chairs, linens, centerpiece/table decor, setup and teardown labor, sound system, lighting, bridal suite access, day-of coordination, and parking.
3. Can I Bring My Own Caterer, or Do I Have to Use Yours?
Some venues have in-house catering (often bundled with the rental). Others have a preferred vendor list. And some allow full outside catering. None of these is inherently better — what matters is the quality of the food and whether the caterer knows the space. A caterer who has worked at your venue before understands the kitchen layout, the service flow, and the timing. That experience translates directly to a smoother reception.
4. What Is the Alcohol Policy?
This is a bigger deal than most couples realize. Some venues require you to use their bar service (and their pricing). Others allow you to bring your own alcohol and hire your own bartender. Some have hard limits on when alcohol service stops. Ask upfront, because bar costs can be one of the largest line items in your budget — sometimes $3,000-$8,000 for an open bar for 150 guests.
5. How Much Time Do I Get in the Space?
Find out exactly when your time starts and ends. If your reception ends at 11pm, what time can your vendors arrive for setup? Can your florist come the day before? Is there overtime, and what does it cost per hour? Also ask about exclusive use — some venues book multiple events on the same day, which can create timing pressure for setup and teardown.

6. What Happens If It Rains?
If you are considering an outdoor ceremony or cocktail hour, this question is essential. Does the venue have an indoor backup space? Is it the same quality as the outdoor space, or is it a cramped room that feels like a consolation prize? In Missouri, where weather can change in an hour, having a strong indoor option is not optional — it is a requirement.
7. What Is the Parking Situation?
It sounds mundane, but parking can make or break your guests’ first impression. Is there a dedicated parking lot? How many spaces? Is it paved and well-lit? Do guests have to walk far? Is valet available? If the venue is in a downtown area, is there street parking or a nearby garage? Your guests should not be stressed before they even walk in the door.
8. Are There Any Noise or Decor Restrictions?
Some venues have strict noise curfews (music off by 10pm), restrictions on certain types of decor (no open flames, no confetti, no fog machines), or limitations on where you can place things. Ask about these upfront so you do not design a vision you cannot execute. If having a sparkler exit is important to you, make sure the venue allows it before you fall in love with the space.
9. Do You Provide a Day-of Coordinator?
Some venues include a coordinator who manages the event logistics on-site. Others leave that entirely to you. A venue-provided coordinator is invaluable — they know the space, the vendor load-in procedures, and the facility quirks. Even if you hire a separate wedding planner, having a venue coordinator ensures smooth communication between your planning team and the facility.
10. What Are the Hidden Costs?
Ask directly: “What additional fees should I expect beyond the rental price?” Common additions that surprise couples include: service charges (often 18-22% on catering), sales tax, gratuity, cake cutting fees, corkage fees (if you bring your own wine), overtime charges, and security deposits. A transparent venue will walk you through all of these without you having to pull it out of them.
11. Can I See Photos of a Full Event Setup?
Tours are typically done in an empty room, which makes it hard to visualize your wedding. Ask to see photos of actual weddings held at the venue — different table configurations, different color palettes, different seasons. This gives you a realistic sense of what the space looks like when it is full of people, flowers, and life. Check if the venue has a gallery or social media with real event photos.
12. How Does the Venue Make You Feel?
This is the question that does not have a “right” answer, but it matters the most. When you walk into the space, do you feel excited? Can you picture your first dance here? Does the team seem genuinely enthusiastic about your wedding, or are you just another booking? Trust that instinct. You will spend one of the most important days of your life in this room — it should feel like yours.

Red Flags to Watch For
- Vague pricing. If the venue cannot give you a clear, written estimate after a tour, that is a problem.
- Pressure to book immediately. “We have someone else looking at that date” is a common tactic. A confident venue will let you take a day to decide.
- Poor communication. If they are slow to respond before you book, they will be slow to respond after you book.
- No references. Any reputable venue should be happy to connect you with recent couples who got married there.
- Restrictive contracts. Read every line. Watch for non-refundable deposits, auto-renewing holds, and penalty clauses.
